Privacy Policy

SoloBooks.me ("SoloBooks.me", "we", "us") provides financial-document automation tools for bookkeepers and other finance professionals. This policy explains what data we collect, how we use it, who we share it with, and the choices you have. By using SoloBooks.me you agree to this policy.
The short version
- We never sell your data, and it is never used to train AI models.
- Document content is processed only to produce the output you asked for.
- Your data is isolated per account and encrypted in transit and at rest.
- You can export or delete your data, and revoke our access, at any time.
Who is responsible for the data ("controller" and "processor")
When you upload a client's documents, you (and, where applicable, your client) are the controller of that personal data; SoloBooks.me acts as a processor that handles it on your instructions, only to provide the service. If you process other people's data in the course of your work, a Data Processing Agreement (DPA) is available on request — email support@solobooks.me.
Information we collect
- Account information. If you sign in with Google we receive your basic profile (name, email, profile picture). If you sign in by email magic-link, we collect the email address (and any name) you provide. This identifies your account.
- Google Drive content you choose to process. When you point a tool at a Drive folder or file, we read those files to process them, and (when you ask) write generated reports and renamed files back to folders you select. We only access the files and folders you direct us to.
- Files you upload. Documents you upload directly for processing — which may include financial information such as account numbers, balances, and transactions.
- Generated output and usage. Reports and extracted data we produce for you, and a record of your credit balance and usage.
- Technical logs. Standard server logs (timestamps, error diagnostics) used to operate and secure the service.
How we use your information
We use your information solely to provide the service: to authenticate you, process the documents you submit, generate reports, return results to your Drive, meter usage, and (if you contact us) provide support. We do not sell your data, do not use your documents for advertising, and do not use your documents to train AI models — ours or anyone else's.
Google user data — Limited Use
SoloBooks.me's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google Drive access is used only to provide and improve the features you actively use, is not transferred to others except as needed to provide the service, and is not used for advertising or to train generalized AI models.
Subprocessors
To deliver the service, content you submit may be processed by the following subprocessors, each under their own data-protection commitments:
- Google Cloud — hosting/infrastructure, and Document AI for page-boundary splitting of documents.
- Anthropic (Claude API) — AI extraction of fields and transactions. Under Anthropic's commercial API terms, your inputs and outputs are not used to train their models; Anthropic retains API data only for a limited period for safety and abuse monitoring and then deletes it.
- Brevo — sending transactional email (sign-in links, support replies). Only your email address and message content are shared, never your documents.
We maintain a DPA with our subprocessors. This list may change as the service evolves; material changes are reflected by the "last updated" date above.
Data retention and deletion
Source files and generated reports are stored under your account, isolated per user, so you can return to them. We retain them only as long as needed to provide the service and then delete them; you can ask us to delete your data — or specific jobs — at any time by emailing support@solobooks.me. You can revoke SoloBooks.me's access to your Google account at any time at myaccount.google.com/permissions.
Your rights
Depending on where you live (for example under GDPR or the CCPA), you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these, email support@solobooks.me. Where we process data on a customer's behalf, we will refer such requests to that customer (the controller).
Security
Traffic is encrypted in transit (HTTPS) and data is encrypted at rest by our cloud provider. Access is gated by sign-in, each user's data is isolated from others, and we apply least-privilege access to systems handling your data. No method of storage or transmission is 100% secure, but we take reasonable, industry-standard measures to protect your information.
Cookies
We use a single session cookie to keep you signed in. We do not use third-party advertising or tracking cookies.
Changes
We may update this policy as the product evolves. Material changes will be reflected by the "last updated" date above.
