Terms of Service

These terms govern your use of SoloBooks.me (the "Service"). By signing in and using the Service, you agree to these terms. If you do not agree, do not use the Service.

The Service

SoloBooks.me provides tools to organize and extract data from financial documents — invoices, receipts, bank statements, and mailbox archives — and to generate reports. The Service is currently offered as a private beta and may change, be limited, or be discontinued at any time.

Accounts

You sign in with a Google account or with an email sign-in ("magic") link. You are responsible for activity under your account and for keeping your sign-in method secure. You must be at least 18 and use the Service only for lawful business purposes.

Acceptable use

• Only submit documents you have the right to process, including the right to process any third party's (e.g. your client's) personal or financial data they contain.
• Do not attempt to disrupt, reverse-engineer, or gain unauthorized access to the Service or other users' data.
• Do not use the Service to violate any law or third-party rights.

Your data and our role

You retain ownership of the documents and data you submit. Where those documents contain another person's data (for example your client's), you are the controller of that data and SoloBooks.me processes it only on your instructions to provide the Service. A Data Processing Agreement is available on request at support@solobooks.me. How we handle data is described in our Privacy Policy.

Credits, plans and fees

The Service uses credits to meter usage of the AI-powered tools. Free or evaluation credits have no monetary value and are non-transferable and non-refundable. Where paid plans or credit purchases are offered, the price, included usage, and billing terms shown at the point of purchase apply; subscriptions renew until cancelled, and fees already incurred are non-refundable except where required by law. We may change pricing or plans on a going-forward basis, with notice for active paid subscriptions.

A tool, not your accountant — you remain the professional of record

SoloBooks.me is a software tool that helps you organize, extract, and reconcile financial documents. It is not an accountant, bookkeeper, auditor, tax adviser, or system of record, and it does not provide financial, accounting, tax, or legal advice. The Service uses automated and AI-based processing, which can make mistakes: extracted figures, classifications, completeness checks, and reports may contain errors. The Service is designed to flag discrepancies for your review rather than conceal them, but you must review and verify all outputs and approve them before relying on them. You — or the professional you work for — remain the professional of record and are solely responsible for the final work product and any decisions made from it.

Third-party services

The Service relies on Google (sign-in, Drive, Document AI), Anthropic (Claude), and Brevo (email). Your use of those services through SoloBooks.me is also subject to their respective terms.

Intellectual property

You retain all rights to the documents and data you submit and the outputs generated for you. We retain all rights to the Service software and brand.

Disclaimer of warranties

The Service is provided "as is" and "as available", without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

Limitation of liability

To the maximum extent permitted by law, SoloBooks.me and its operator will not be liable for any indirect, incidental, special, or consequential damages, or for any loss of data, profits, or revenue, arising from your use of the Service.

Termination

You may stop using the Service at any time and revoke access from your Google account settings. We may suspend or terminate access if these terms are violated or to protect the Service.

Changes

We may update these terms; continued use after an update constitutes acceptance. Material changes are reflected by the "last updated" date above.
